TaxOS handles personal and financial information, so we want to be plain about what we collect, why, and who else touches it.

1. Who is responsible for your information

[Legal business name] ("TaxOS", "we", "us"), [Mailing address], Prince Edward Island, Canada, is responsible for the personal information described here. Contact us at hello@taxos.ca with any privacy question or request.

2. What we collect

  • Account details: your email address, name and sign-in credentials, or your Google account identifier if you sign in with Google.
  • Tax and financial information you enter or upload: income, deductions, contributions, tax paid, business figures, GST/HST records, transactions, receipts and documents such as tax slips.
  • Billing information: your plan, subscription status and Stripe customer and subscription identifiers. Your card number is collected and held by Stripe, not by us.
  • Activity in the app: your questions to the tax assistant, decisions you make on recommendations and deductions, and an audit trail of significant actions in your workspace.
  • Basic technical and usage information, such as device and browser type and which features are used, to keep the Service secure and to improve it.

3. How we use it

We do not sell your personal information, and we do not use your tax records for advertising.

  • To provide the Service: calculate estimates, organize your records, generate recommendations and show your dashboard.
  • To process payments, manage your subscription and provide support.
  • To secure the Service, prevent misuse and meet legal obligations.
  • To understand how the Service is used and to improve it.

4. Who we share it with

We use service providers to run TaxOS. They may handle your information only to provide their service to us:

  • Base44, the platform that hosts the application, its database, file storage and sign-in.
  • Stripe, which processes subscription payments.
  • AI model providers, through our platform. When you ask the tax assistant a question or scan a receipt, the question and a summary of the relevant financial information, or the uploaded receipt, are sent to an AI model to produce the answer or extract the receipt details.
  • Google, if you choose to sign in with Google.

5. Where your information is stored

Our providers may store and process information in Canada and in other countries, including the United States. Information held in another country may be accessible to courts and authorities there under that country's laws.

6. Keeping your information safe

Each workspace's records are private to its owner, access is controlled by sign-in, and significant actions are recorded in an audit trail. No system is perfectly secure. If a breach creates a real risk of significant harm to you, we will notify you and the appropriate authorities as the law requires.

7. How long we keep it, and deleting it

We keep your information while your account is open. You can delete your profile and workspace records at any time from Settings. Billing records, such as purchases and subscriptions, are kept after deletion for financial and tax record-keeping, and some backups may persist for a limited time before they are overwritten.

8. Your choices and rights

You may ask to see the personal information we hold about you, to correct it, or to withdraw your consent to our using it (which may mean we can no longer provide the Service). Email hello@taxos.ca and we will respond within the time the law allows. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.

9. Cookies and similar technologies

We use cookies and local storage that are needed to keep you signed in and to make the app work, and basic analytics to understand usage. We do not use third-party advertising cookies.

10. Children

TaxOS is intended for adults. We do not knowingly collect information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.

11. Changes to this policy

We may update this policy. If a change is material we will notify you in the app or by email before it takes effect.
